Privacy Policy

Effective October 1, 2026 · Version privacy-2026-10-01

Dark Knights Chess LLC (“we”, “us”) operates dkchess.com, a tournament registration and results platform for chess organizers, players and their families. This policy explains what we collect, why we collect it, and what we do not do with it.

This is the version currently in force. Every earlier version stays available at its own address.

What we collect

Account details: your name, email address, and an optional mobile number. Player details you enter when registering: name, rating, US Chess ID, school or club, grade and age. Registration, payment and invoice records. And tournament results — pairings, scores and standings — for the events you enter.

When you agree to these terms or opt in to text messages, we also record when you did, the version you agreed to, and the IP address and browser you used, as proof of that agreement.

How we use it

To register players for events, to produce pairings, standings and rating reports, to issue and collect invoices, and to send the notifications you asked for. Tournament results, including player names, pairings and standings, are published on public event pages. This is standard practice for rated chess and is how results are verified and submitted for rating.

Public event pages show a player's name, rating, section, team or school, and results. They never show age, grade, sex, city or contact details. A parent or guardian can choose first name and last initial instead of the full name.

SMS Communications

SMS Communications: Mobile phone numbers and SMS opt-in consent collected through our registration forms are used only to send event notifications you requested. We do not sell, rent, or share mobile numbers or SMS consent data with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

The full program description, including message frequency, rates, and how to get help or stop messages, is in the SMS Event Alerts section of our Terms of Service.

Who we share it with

Service providers who make the platform work — payment processing, email delivery, file storage and hosting — and only the data each one needs to do its job. Rated events additionally require submitting player names, US Chess IDs and results to the relevant rating body. We do not sell personal information.

Players who are minors

Most players on this platform are children, and their entries are created and managed by a parent, guardian or coach rather than by the player. We collect no more about a minor than an event needs in order to run and be rated. A parent or guardian may ask us to correct a player’s details, or to remove a player’s name from public surfaces, by writing to us.

How long we keep it

Registration, invoice and result records are kept for as long as the organizer needs them and as long as tax and rating rules require. Records of consent and of messages we sent are kept for at least five years after the last message, as proof. You may ask for your account to be closed at any time; published results of rated events cannot be withdrawn after submission.

Your choices

You can view and edit your account details and your players at any time in Settings. You can turn any notification off, per channel and per event. You can withdraw SMS consent at any time by replying STOP to a message, or by telling us or the tournament director in any other way.

Language

This policy is provided in English and Spanish. If the two differ, the English version controls.
