Organizer Terms
Effective October 1, 2026 · Version org-2026-10-01
These terms apply to anyone who publishes an event on dkchess.com, which is operated by Dark Knights Chess LLC. They add to the Terms of Service, which also apply to you. You accept them for yourself and for the club, school or organization whose events you publish.
This is the version currently in force. Every earlier version stays available at its own address.
Your event is yours
You are the organizer of record for every event you publish. You are responsible for the event itself: its schedule, sections, rules, prizes and prize payment, entry fees, refunds and cancellations, venue, insurance, and the conduct of your tournament directors, staff and volunteers. Dark Knights Chess LLC provides software; it does not run, sponsor or guarantee your event unless it is the organizer.
Fees, refunds and prizes
You set your fees and your refund policy, and you publish that policy on the event before registration opens. You honor it. You pay the prizes you advertise, and "guaranteed" means guaranteed.
Player safety
Many players are minors. You follow the US Chess Safe Play policy (or your federation's equivalent) at your events, make sure your staff do too, and report concerns as that policy requires. You do not use the platform to contact a minor privately.
Data you enter
You are responsible for the accuracy of what you and your staff enter — entries, ratings, results and payments recorded at the desk. If you upload or enter data about students, you confirm you have a lawful basis to share it with us for running the event (for example, the parent's permission or your school's authorization), and you use it only for your events.
Messages to families
Announcements you send through the platform must be about your event. Text messages are only available for organizers covered by our registered SMS program, are transactional only, and go only to numbers that opted in themselves; you cannot opt anyone in. If a family asks you to stop texting them, you record it on the platform right away.
Suspension
We may unpublish an event or suspend an organizer account that breaks these terms or the Terms of Service, puts players at risk, or exposes the platform to legal or payment risk. Where we can, we tell you first and give you a chance to fix it.
Indemnity
You will defend and indemnify Dark Knights Chess LLC against claims, losses and costs (including reasonable attorneys' fees) arising from your events, your staff, the data you enter, the prizes and refunds you owe, and your breach of these terms.
Changes and language
When these terms change materially, you accept the new version before publishing your next event. They are provided in English and Spanish; if the two differ, the English version controls. Texas law governs them, as it does the Terms of Service.
